Job Description


Purpose of the role:
To control the parts drawn from the warehouse and update the system in line with Hitachi standards for achievement of company goals.

Reports to: Warehouse Supervisor/Assembly Manager
Branch: Kansanshi

Duration: One (1) Year

Key Duties and Responsibilities:
The Parts Controller will be required to perform the following tasks:

Safety Assurance

  • Ensure safety standards are adhered to at all times;
  • Store room clean and comply with safety policies and regulations at all times;
  • Correct PPE worn as per safety policy;
  • Daily assessments performed to ensure good housekeeping;

Stock Control/ Receive Goods

  • Receive parts requests from the planner;
  • Requisition forms completed accurately and filed;
  • Correct products and correct quantity and quality thereof are received – if any deviations are noted this needs to be reported to the Warehouse Supervisor;
  • Received stock captured on system and placed in correct bin after labeling;
  • Order parts;
  • Update received parts in dynamics.

Dispatch Goods

  • Capture client request on system and provide correct stock as per request;
  • Client signs dispatch note as well as the Storeman issuing the stock;
  • Record and update the stock record accordingly;
  • Materials needed for servicing of machines is prepared before the service is due to be performed;
  • Cost the parts in the work order;
  • Deliver parts to workshop.

Monitor Stock Level

  • Capture all items that are returned to the warehouse on the system, label and store in the correct place;
  • Check minimum and maximum stock levels twice a week to ensure that correct stock levels are on hand at all times. Report any deviations to Warehouse Supervisor;
  • Maintain bin locations; report any changes to Warehouse Supervisor so that the system can be updated;
  • Mark all stock clearly;
  • Cycle count and stock counts;
  • Expedite unavailable parts;
  • Expediting back ordered parts;

Transportation and Administration

  • Collect all equipment and ensure that they arrive at the destination on the agreed time;
  • Obtain security passes for all transported items before loading items;
  • All documentation is signed and handed to relevant divisions / persons;
  • Components collected / delivered match with the documentation provided;
  • Assist co-workers with issuing, delivering, binning of items as requested or instructed;
  • Provide assistance when bottlenecks occur;
  • Sign the delivery note and transfer to Data;
  • Assist supervisor in ordering parts;
  • Prepare parts imports duty exemption schedule;
  • Making discrepancy reports in dynamics;
  • All documentation captured correctly making sure it contains all necessary information;
  • File all requisition forms;
  • Update system continuously so that correct stock levels are always known.

Qualifications & Experience

  • Must have Grade 12 General Certificate.
  • Minimum of Diploma in Purchasing and Supply
  • Knowledge of mechanics is an added advantage
  • Minimum three (3) years experience in Parts Controlling and Warehousing in a related industry.
  • Experience in parts control in a related industry.
  • Membership to the relevant body.

Job Specific Competencies

  • Good communication skills.
  • Proficient in computer skills (MS Excel and MS Word).
  • High degree of accuracy and attention to detail.
