Job description:

Purpose of the role: 

This role provides administrative support to the Coordinator, Occupational Health (Return To Work), with a large part of the role focusing on contractor medical scheduling and management.

Key Responsibilities: 

The specific tasks to be performed by the position holder will include but not limited to the following:

  • Adhere to all relevant requirements, policies, procedures and legal regulations pertaining to health, safety, environment and quality, as well as finance, human resources, and any other regulations as required by the company and relevant to the level of the role and responsibilities of the function.
  • Develop and coordinate the schedule of daily appointments for contractors and communicate appointments to the contractors and reception desk of the occupational health centre.
  • Communicate the results of contractor medicals with the contractor HR departments and access control team.
  • Communicate to access control any contractors that need to have access to the mine site blocked due to expired medicals or contractors that are found unfit to be on site
  • Complete the contractors billing spreadsheet, including details of bookings, cost centers and attendance to be sent to FQMO finance for invoicing once a month.
  • Maintain a register of contractor medical outcomes and the next review/expiry date
  • Update and maintain registers of restricted duties.
  • Provide daily feedback on restricted duties that are due for review to the Coordinator, Occupational Health (Return To Work) relevant HR and to the occupational health department of Mary Begg Clinic.
  • Ensure work capacity certificates are done accurately and completely and communicate these to HR within good time.
  • Develop and maintain registers for tracking and follow up of other occupational health diseases under the guidance of the Coordinator, Occupational Health (Return To Work).
  • All other reasonable tasks assigned by the supervisor/management.

QUALIFICATIONS AND EXPERIENCE 

  •  Full Grade 12
  • Diploma/Degree in Business Administration / Social Sciences or Equivalent.
  • Computer literate with high proficiency in Microsoft word, excel and power point.
  • A minimum of 2 to 3 years’ experience in a similar role
  • Ability to work and achieve results in a cross cultural environment.
  • Excellent interpersonal skills.
  • A team player with the ability to work under intense pressure.
  • Able to plan, Prioritizes, and manage their own activities and office workflow even when working under tight deadlines.
  • Able to adapt to changing work requirements and priorities that may require overtime or extended hours.
