Human Resources and Administrative Assistant

Human Resource and Admin Assistant

Reports to: HR Officer

Location: Chinika Industrial Area, off Mumbwa Road

Tasks and responsibilities

1. On-boarding

  • Assist on the onboarding and offboarding process
  • Answer the routine question, distribute and explain forms to employees such as the company’s code of conduct and ethics, policies and procedures
  • Collecting employment documents and updating the employee directory
  • Add new employees to the Napsa and Nhima portal
  • Report any incorrect employee information from Napsa and Nhima portals to the HR officer
  • Maintain and update the employee picture folder

2. Disciplinary and Grievances

  • To handle employees’ grievances and questions in a confidential manner.
  • To update the grievance/disciplinary tracker
  • To escalate grievances to the HR Officer
  • Assist the HR Officer/Manager` in arranging for disciplinary hearings and any related disciplinary action needed

3. Administration

  • Filing  employee records.
  • Type variety of documents in drafts and final form
  • Proofread materials for correct grammar, spelling, and punctuation
  • Digitize employee documents and add them to the drive
  • Schedule meetings, sort/distribute mail, and maintain departmental files
  • Maintain HR department supplies and process invoice for payment
  • Collect quotations and purchase office and other supplies
  • Manage and submit the monthly stationery, office supplies, and warehouse toiletries budget
  • Maintain the First Aid Kit and replenish contents to avoid running out.

4. Day to day

  • Support of the HR officer and/or HR Manager
  • Update your Jira dashboard and attend daily catch-up meetings
  • Create reports for the HR Officer in order to create solutions for employees and managers.
  • Understand and implement oral and written instructions
  • Communicate updates to superiors orally and in writing
  • Establish and maintain cooperative work relationships with those contacted during the course of work operations
  • Perform any other task or function as assigned by the employer.
