Job Description


Excellence Skills Corporation Limited is a network of experts with local and global know-how who provides complete human resource and business solutions to client companies in Zambia.

Our client is a leading milling company with maize and rice milling facilities in Lusaka, Northern, Luapula, Southern, Western, and North-western provinces of Zambia. The Company buys maize from farmers from all parts of the country including rural areas which supplements the Government’s efforts of providing alternative and early maize markets for farmers. The Company then produces mealie-meal which is sold in different areas of the country at affordable prices. The Company also produces maize bran and other products to contribute to the growth of the livestock industry in the country.

We are seeking a detail-oriented and organized individual to join the team at a leading maize buying and milling company who will be responsible for managing and overseeing all areas of the branch and the company’s properties.

KEY RESPONSIBILITIES:

1. Production Management:

  • Planning for production and ensuring business efficiency.
  • Oversee the milling process, from raw material intake to finished product packaging, to ensure efficient and smooth operations.
  • Monitor production schedules, manage resources, and coordinate teams to meet production targets and quality standards.

2. Supply Chain and Procurement:

  • Manage the procurement of maize or grain, establishing strong relationships with suppliers and negotiating favorable terms.
  • Ensure a steady supply of raw materials while optimizing inventory levels.
  • Verifying weighbridge slips and appending a signature confirming right weights of maize being bought by the Company.
  • Checking maize depots and mealie meal depots in aspect of stock levels to ensure no disruption to production.
  • Organizing transportation of maize from the depots to the branch and sending/carrying money to them.

3. Quality Control and Assurance:

  • Ensuring all scales are certified e.g., weigh bridge scale, small scales for mealie meal and maize depots scales.
  • Ensure that maize stacks are done in line with set standards.
  • Implement and maintain rigorous quality control measures to ensure consistent and superior product quality.
  • Address any deviations and continuously improve quality standards.

4. Operational Efficiency:

  • Identify opportunities for process optimization and efficiency improvement within the milling operations.
  • Implement best practices and lean methodologies to streamline workflows and reduce wastage.

5. Team Leadership and Development:

  • Taking a daily register on time as staff report for work.
  • Providing leadership, support, training and supervision to branch staff.
  • Lead and mentor a team.
  • Foster a collaborative and positive work environment, promoting employee development and engagement.

6. Performance Monitoring and Reporting:

  • Develop and monitor key performance indicators (KPIs) to evaluate operational performance and identify areas for enhancement.
  • Prepare regular reports for senior management on operational metrics and improvements.
  • Responsible for giving head office information on competitors price analysis.

7. Health and Safety Compliance:

  • Uphold and enforce strict safety protocols and regulations to ensure the well-being of employees and compliance with industry standards.

8. Equipment Maintenance and Upkeep:

  • Coordinate with maintenance teams to ensure the proper maintenance and repair of milling equipment to minimize downtime.
  • Checking up with the workshop team and ensuring that all machinery is in good condition and make a report as required.

9. Administration Management:

  • Responsible for all vehicle fitness, road tax and insurance matters when it comes to expiry periods.
  • Responsible for keeping safe keys.

10. Budgeting and Cost Control:

  • Responsible for signing off expenses.
  • Work closely with finance teams to establish operational budgets and manage costs effectively.
  • Identify cost-saving opportunities without compromising quality and productivity.

11. Continuous Improvement:

  • Promote a culture of continuous improvement by encouraging feedback from team members and implementing innovative solutions.

QUALIFICATIONS AND EXPERIENCE:

  • Diploma in Business Administration, Operations Management, Social Science or related field.
  • At least 5 years in operations management.
  • Strong knowledge of milling processes, equipment, and quality control standards.
  • Demonstrated leadership skills with cross-functional teams.
  • Excellent problem-solving and decision-making abilities.
  • Proficiency in using relevant software and tools for production and inventory management.
  • Strong communication and interpersonal skills.
  • Excellent organizational and time management skills.
