Job Description


Finance & Administration Officer Vacancy – Position

We are seeking diligent, detail-oriented candidates with good interpersonal and quantitative skills to fill the above specialist position.

a) Competency with spreadsheet software.

b) Strong analytical skills & experience in writing detailed reports

c) Excellent verbal and written communication skills.

Key Responsibilities:

Finance

(a) Preparation of Monthly Management Accounts using Sage Pastel

(b) Filling and Payments of statutory obligations (ZRA Paye, Income Tax, NAPSA & NHIMA)

(c) Verify bank accounts checks, and balances with the ledger

(d) Prepare bank reconciliation reports for all cash deposits to the bank

(e) Posts customer payments by recording cash, checks, and credit card transactions.

(f) Updates receivables by totaling unpaid invoices

(g) Resolves valid or authorized deductions by entering adjusting entries

(h) Resolves invalid or unauthorized deductions by following pending deductions procedures

(i) Resolves collections by examining customer payment plans, payment history, credit line

(j) Summarizes receivables by maintaining invoice accounts; coordinating monthly transfer to accounts receivable account; verifying totals.

Administration

a) Maintaining of the assignment Register

b) Filling System

c) Making appointments

d) Office Maintenance

e) Answer queries by employees and clients

f) Prepare regular reports on expenses and office budgets

g) Book meeting rooms as required

h) Distribute and store correspondence (e.g., letters)

i) Organize a filing system for important and confidential company documents

j) Update office policies as needed

k) Maintain a company calendar and schedule appointments

l) Prepare reports and presentations with statistical data, as assigned

m) Arrange travel and accommodations

n) Schedule in-house and external events

Qualifications and Experience:

a) Diploma in Accounting, Finance, Business Administration, or any other related field

b) Experience with Sage Pastel accounting software a plus

c) Should have at least 2-year prior experience in a similar position

d) Knowledge of Insurance, Loss Adjusting, Valuation & Risk Management

e) Ability to work with others in a team environment

f) Ability to work with minimum supervision
