Job Description


Purpose of the role:

Managing all the job process documents related to Reman operations, managing assigned Customer WIPcand assigned Customer account invoicing, and closing of the jobs from customers in line with Hitachicstandards for achievement of company objectives.

Reports to: Planning Supervisor.
Branch: Reman Lusaka.

Key Duties and Responsibilities:

The Assistant Planning Administrator will be required to perform the following tasks:

➢ Prepare weekly reports for the customer through HCMZ site representatives.
➢ Capture all the costs attached to the jobs with consultation with section supervisor.
➢ Raise core purchase Orders for the Customer Within 35 days of Receipt of Core.
➢ Generate customer quotations and invoices accurately and on time.
➢ Manage and monitor labour hour entries.
➢ Updating weekly WIP and sending to respective Customer.
➢ Monitor and liaise with Customer on timely completion of Jobs.
➢ Consistently provide reports to site representatives for the customer’s needs/ expectations.
➢ Provide recommendation for items to be scheduled to the Planning Supervisor.
➢ Liaise with Warehouse on parts availability and make recommendations for Repair and Return
parts to be ordered by Warehouse.
➢ Ensure parts requests are raised accurately and on time.
➢ Resolve queries quickly and effectively after verification with the planner.
➢ Communicating to finance in time.
➢ Ensure all documentation is filed on time.
➢ Ensure completed jobs are invoiced accurately and on time.
➢ Manage data entry Records in the system
➢ Core assessment reports sent timely and consistently followed up for feedback.
➢ Ensure daily timesheet labour hours inputted into Dynamics
➢ Report on productive labour vs nonproductive Labour.
➢ Monthly reporting in management meetings as required by Planning Supervisor or Manager.

Qualifications & Experience

➢ Must have a full Grade 12 certificate.
➢ Minimum of a Diploma in Business Administration or related field. A Degree will be an added
advantage.
➢ Minimum of 3 years’ experience in Planning in a related industry.
➢ Experience in ERP.
➢ Experience in Equipment industry is an added advantage.
