2. Position Overview

We are seeking a highly organized, approachable, and confident Receptionist to serve as the face of our Kitwe branch. As the first point of contact for visitors and clients, you will play a pivotal role in creating a welcoming and professional office environment while providing outstanding administrative support to ensure smooth daily operations.

3. Key Responsibilities

  • Professionally greet and assist visitors, clients, and suppliers upon arrival.
    Operate a multi-line telephone system; screen and direct calls accordingly.
  • Respond to general inquiries about company services via phone, email, and social media.
  • Maintain a tidy and organized front desk and reception area at all times.
  • Coordinate meeting room schedules and prepare materials/refreshments for meetings.
  • Handle cash payments and process POS transactions; liaise with the finance department.
  • Assist with data entry, filing, record keeping, and general administrative tasks.
  • Monitor and replenish front office supplies and report maintenance needs.
  • Ensure full compliance with data privacy, company confidentiality, and safety procedures.
  • Support the wider team with overflow administrative tasks as required.

4. Minimum Qualification, Skill and Competencies

  • Diploma in Business Administration or related field. Certification in Office Management is an added advantage.
  • Minimum 2 years in a receptionist or front office role in a professional environment.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook); knowledge of POS systems is a plus.
  • Communication: Exceptional verbal and written communication skills in English.
  • Friendly, courteous, with a strong customer service orientation.
  • Maintains confidentiality, has a polished appearance, and represents the company positively.
  • Able to manage multiple tasks and prioritize in a fast-paced environment.
