Job Description

Reports to: Management Accountant

Purpose of the Job: Responsible for the management of ZCAS stores and ensure that all received stock items are properly maintained and accounted for

Main Responsibilities

  • Counts, sorts or weighs incoming items to verify receipt of items on requisition
  • Examines stocks to verify conformance to specifications before accepting them
    for storage.
  • Supervises storage of items in bins, on the floor and shelves according to
    specified information such as size, style or type of material.
  • Compiles reports on the handling and use of stock, adjustment of inventory,
    counts and records spoiled or damaged stock as well as stock location.
  • Ensures that goods/stock are always in safe custody, providing protection
    against deterioration, damages and breakages and insuring effective inventory
    controls in each store.
  • Maintains stock at agreed levels and ensures timely and adequate procurement
    of materials, spare parts, visual aids etc. for the Centre.
  • Issues materials and other stock items to end users against authorized stores
  • Maintains appropriate stores cards including bin cards with regard to receipt,
    issues and available stock balances
  • Physically verifies the stock on hand and compares the figures with the book
    stock records and reports any differences to the immediate supervisor for
    appropriate action.
  • Maintains a ledger of stores consumption on departmental basis and advises
    management on budget availability on a regular basis
  • Advises senior management on cost saving opportunities in the procurement of
  • Ensures that all goods received vouchers have been raised in order to update the
    Pastel System.
  • Carries out quarterly stock taking and prepares appropriate reports for
    submission to the Superior.

Qualifications and Experience

  1. Grade 12 Certificate with Five (5) credits or better including English and
  2. Professional Diploma or Bachelor’s degree in Purchasing and Supply.
  3. At least three (3) years’ experience in a large organization.
  4. Certified Member of Zambia Institute of Purchasing and Supply.
