Job Description
Zambia Impact Network Limited (ZINL) works with the Ministry of General Education in its efforts to achieve universal primary education. Founded in 2009, ZINL is a Zambia-based non-profit organization that is working to improve the quality of education in Zambian community schools. Responsibilities and expectations include an estimated 40% field operations oversight, 30% administration, 10% data monitoring, 20% procurement and logistics planning.
Reports to Head of Operations, line manager to field Operations Officers and Driver.
Field Operations oversight
- Ensure the operations field staff are meeting or exceeding agreed targets
- Identify training needs, contribute to training preparation and delivery
- Promote efficiency in the attainment of organizational objectives
- Conduct at least one filed visit per week, to check for compliance and consistent standards across all sites
- Review the equipment and school supply data to minimize gaps in availability
- Monitoring field data and reports and make data-driven suggestions for efficiency and effectiveness
- Ensure the operations team budgets and financial reports are accurate and submitted timeously
- Monitor the solar systems at all Impact schools to ensure longevity and security
- Assisting with the recruitment and onboarding process in the operations department
Admin and Logistics
- Ensure all expenditure receipts are correctly filed, both in hard and soft copy
- Verify monthly fuel statements using the fuel coupons
- Lead transport scheduling and logistics planning for trainings and other events
- Manage staff movement requests and the Driver’s calendar
- Make lodging and transport reservations for Impact Network staff and visitors
Procurement
- Coordinate material and resources allocation across all the sites
- Follow Impact Network’s financial procedures to ensure strict procurement discipline and compliance
- Ensuring 3 quotations are collected for any procurement
- Prepare a comparative bid for submission
- Commence purchasing upon receiving approval
- Help manage relationships with suppliers
- Ensure that payments are made according to Impact Network’s financial procedures
- Maintain the asset register and update it with any procurements
Requirements:
- Candidates should have a relevant university degree or diploma
- A minimum of 2-years applicable work experience
- Excellent organizational and leadership ability
- High competency in Microsoft Office and sharp analytical skills with the ability to navigate data sets
- Outstanding communication and negotiation skills in English and Cinyanja, both written and verbal
- Experienced in working within a target driven environment
- Ability to follow internal and external processes and multitask
- Thoroughness, accuracy and attention to detail when accomplishing all tasks
- Exceptionally organized with strong time management skills and the ability to meet deadlines
- Problem-solving aptitude and the ability to troubleshoot
- Ability to build effective working relationships and present diplomatic solutions to obstacles encountered
- Punctuality, reliability and the ability to adapt to changing priorities and deadlines
- Strong ethics and ability to manage confidential information
- Strong inter-personal skills, internal motivation and awareness of own limitations are essential
- Experience managing a team and projects within a rural NGO setting an advantage
This position is based in Katete, Eastern Province with regular travel to Sinda, Petauke, and Lusangazi.
