Position: Receptionist Temp (Maternity Cover)
Reports to: Administrative Specialist
Location: Lusaka
Duration: 6 Months
Background:
The USAID Zambia Accessible Markets for Health (USAID ZAM-Health) project is a five-year project that aims to sustainably expand access to high-quality health products and services, improve health knowledge, and increase the adoption of healthy and health-seeking behaviors through the private sector. The project will achieve these outcomes by working in partnership with the private sector (for-profit and nonprofit) as well as the Government of Zambia to strengthen the market system – supply, demand, and an enabling environment. USAID ZAM-Health is implemented by John Snow Health Zambia Limited (JSH) in partnership with JSI Research & Training Institute, Inc. (JSI), Mopani Mines and PharmAccess. The consortium is applying a market facilitation approach to coordinate, catalyze, and harness the private sector to reach priority populations with health products, services and information.
Purpose:
Reporting to the Administrative Specialist, the Receptionist will be required to man the reception area including; handling incoming calls, visitor welcoming and oversee the use of office equipment. Additionally, the Receptionist will be required to execute USAID ZAM-Health administrative functions including assisting with project logistics, organizing and coordinating administrative arrangements, performing clerical tasks and maintaining clear and detailed records as needed to assist the USAID ZAM-Health project and staff to operate efficiently and effectively.
Duties:
- Man the reception area and ensure front office is well maintained
- Handling incoming calls and maintain records for project staff
- Welcoming visitors to the project and directing them accordingly
- Oversee the use of office equipment especially that at front office
- Providing Logistics/Administrative support, booking of hotel venues, accommodation for meetings and workshops and prepare/organize meeting and workshop materials.
- Assist in obtaining quotations, compiling and analyzing cost information and data to assist in the selection of vendors including preferred vendors for stationary, supplies, services, and hotels and update information periodically.
- Maintain database of preferred hotels, lodges and venues obtaining feedback from project staff to keep information current and updated. Circulate to staff periodically.
- Arrange and prepare documents and supervise the photocopying and printing of materials for the project as required.
- Maintain and distribute up-to-date directory of USAID ZAM-Health staff and partner contact information.
- Attend to any other administrative tasks assigned
Required Qualifications and Skills
- Minimum of a Certificate in Office/front Office Management/ Business or related field.
- Diploma or Degree will be an added advantage
- Minimum of 3 years’ experience in a similar office administrative position.
- Demonstrated ability to manage time and perform to strict deadlines.
- Excellent computer skills required: including excellent word processing skills and experience with MS Word. Experience with Excel spreadsheets also preferred.
- Good interpersonal skills. Good organizational skills.
- Exhibit friendly and helpful demeanor at all times given the high level of interaction with stakeholders and clients.
