Job Description


We are seeking to hire a Receptionist responsible for providing excellent client service through professional and courteous reception of internal and external clients, as well as the efficient management of incoming and outgoing mail or packages and telephone calls.

Experience and Qualifications:

Diploma in Secretarial or Office Management
Diploma in Business Studies or Business Administration.
2 – 3 years’ experience in a similar role in a professional services environment

Key Responsibilities:

 

Welcoming and directing guests

Greet and direct external clients and visitors ensuring prompt, professional and efficient reception.
Ensure clear communication of the arrival of external clients and visitors and that internal clients are promptly informed as required.
Arrange parking for visitors as and when requested.
Client Experience and Brand Promotion

Act as the “Human Face” of the firm and maintain a professional appearance, demonstrating high energy levels and providing consistently high levels of client service.
Keep reception area neat and tidy at all times.
Oversee the cleanliness of the client areas and restrooms and ensure all required supplies are in place.
Telephone Communication

Answer, screen and route incoming calls as required.
Provide information to client & caller inquiries.
Mail Handling

Handling of deliveries, collections and courier services as appropriate.
Serve, date stamp, and distribute incoming documents & mail.
Relationship Building

Projection as a courteous, knowledgeable and reliable liaison between external clients, internal clients and public.
Develop and maintain relationships with all levels of staff as a trusted resource.
Maintain strong working relationships with and have open and transparent communication between all members of the team.
Develop and maintain relationships with vendors to ensure quality of service delivery.
