Position: Personal Assistant to the Director (1)

Job Description: The Learning Ladder is seeking a highly organized and motivated individual to join our team as a Personal Assistant to the Director. As the Director’s right-hand person, you will play a critical role in ensuring the smooth functioning of the organization’s administrative operations. This role requires exceptional attention to detail, excellent communication skills, computer proficiency, strong note-taking abilities, and the ability to remember important details.

Responsibilities:

  • Provide comprehensive administrative support to the Director, including managing appointments, scheduling meetings, and maintaining calendars.
  • Take accurate and detailed notes during meetings, discussions, and other important interactions.
  • Organize and maintain electronic and paper files, ensuring efficient retrieval of information.
  • Prepare and edit correspondence, reports, presentations, and other documents as required. Act as a liaison between the Director and internal/external stakeholders, responding to inquiries and requests in a professional and timely manner.
  • Coordinate travel arrangements and accommodations for the Director, ensuring smooth logistics for business trips.
  • Conduct research, compile data, and prepare reports to support decision-making processes.
  • Manage confidential and sensitive information with utmost discretion and professionalism. Assist in organizing events, conferences, and workshops, including logistics, registrations, and material preparation.
  • Perform general office tasks such as answering phone calls, distributing mail, and maintaining office supplies.

Qualifications:

  • Grade 12 certificate or equivalent qualification; additional education in business administration or related field is a plus.
  • Proven experience as a personal assistant, executive assistant, or similar role.
  • Excellent organizational and time management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.
  • Strong attention to detail and the ability to maintain accurate records.
  • Proficiency in computer applications such as word processing, spreadsheets, and presentation software.
  • Exceptional verbal and written communication skills.
  • Strong interpersonal skills and the ability to build positive relationships with individuals at all levels.
  • A valid driver’s license is required.
  • Discretion and confidentiality in handling sensitive information.
  • Ability to work independently and take initiative when needed.
