PAYABLES ACCOUNTANT x 1
Reports to: Finance Manager – Planning & Analysis
JOB OVERVIEW
To perform all accounts payable related activities, including calculating, posting business transactions, processing invoices, verifying financial data to be used in maintaining accounts payable records, as well as provide other support necessary to pay other obligations of the organization.
QUALIFICATIONS
- Grade 12 certificate
- Degree in Accountancy/ACCA applied Skills Level/CIMA Management Level/CA Application level.
- Technician/Licentiate/Graduate Member of ZICA
- Five (05) years working experience.
Main Accountabilities /Duties
1. Ensures that valid and authorized supplier invoices are processed on time and to the correct general ledger account and cost centre, checks against GRV, Inspection report, order issued and cost centres.
2. Ensures that the purchase ledger is reconciled with the Trade Creditor’s control account monthly by ensuring that all entries in the purchase ledger are reflected in the general ledger and the correct liability of credit purchases is reported in the purchase ledger and control account in the Financial Statements of the company.
3. Prepares reconciliations for Trade Creditor’s accounts and reconciles the same on a monthly basis by ensuring that all invoices received, payments made, credit and debit notes are captured in the main system and Trade Creditor’s statement balance reconciled with the trade creditor’s statement of account. This ensures accurate and timely processing of payments and reduces the risk of duplicating a payment.
4. Prepares summaries of stock holding by posting for stock items at the correct cost and right quantity to avoid stocks overstated or understated.
5. Summaries the Prepayment Account to match payments against order to ensure that the value paid agrees with the order value to avoid losses and ensures that all payments sitting in the prepayments account are matched with invoices posted in the Stores in Transit Account.
6. Maintains correct balances monthly in General Stores Interim, Processed GRVs Interim and Inventory Control Account and reconciles accounts monthly to reflect balances for GRVs not yet invoiced for inclusion in the financial statements.
7. Reconciles input vat and out vat monthly to ensure that the correct monthly return is submitted to Zambia Revenue Authority and the correct liability reflected in the Financial Statements on a monthly basis for management decision making.
8. Provides for obsolete stocks as per company policy monthly to cover obsolete stocks that will be written off in other financial periods.
9. Prepares provisions for Invoices, GRV’S and EROs for items received after cut-off date, to ensure that expenditure estimated reliably and paid in the future is included in the Financial Statement for planning purposes.
10. Manages all risks pertaining to the jobs of Payables Accountant to ensure that supplier accounts are reconciled before payments are made and requests for statements from suppliers to compare with what has been processed in our system.
11. Responsible for the implementation, understanding and compliance of all safety rules of his area and proper house- keeping and ensure compliance to ISO 9001,14001 and OHSAS 18001 standards.
