Role Overview
As the Operations & Administration Coordinator, you will play a critical role in driver management, financial oversight, vehicle management, and stakeholder relations, ensuring smooth daily operations and supporting strategic initiatives.
Key Responsibilities
Driver & Fleet Operations Lead the hiring, onboarding, and termination of drivers.
Optimize driver retention strategies and ensure compliance with company policies and industry regulations.
Vehicle Management Oversee vehicle allocation, tracking, and maintenance scheduling to ensure operational readiness and safety standards.
Financial & Collections Management Oversee daily payment collections and maintain accurate financial records.
Ensure timely reconciliations and reporting for management review.
Accident & Risk Management Manage accident reporting and liaise with insurance companies.
Implement safety and risk mitigation procedures.
Stakeholder & Vendor Relations Maintain strong relationships with stakeholders, addressing concerns and ensuring compliance with service standards.
Liaise with vendors to negotiate contracts and improve service quality.
Administrative & Strategic Support Handle documentation, record-keeping, and compliance tracking.
Support the manager in streamlining operations and implementing new strategies.
Qualifications
Diploma or Degree in Operations Management, Business Administration, Transport & Logistics, Public Administration, or a related field.
A minimum of 2 years of experience in operations, administration, or within the transport/logistics industry.
Strong organizational, problem-solving, and multitasking skills.
Excellent negotiation and stakeholder management abilities.
Proficiency in Microsoft Office (Excel, Word) and data management systems.
Ability to work under pressure and adapt to a fast-moving environment.
Preferred Qualifications
Experience in the transport, logistics, or car rental industry.
Background in finance, accounting, or business administration.
Familiarity with CRM, call center software, or fleet management tools.
