Job Description
Responsible for overseeing the hotel’s operations during the night shift, ensuring guest satisfaction, balancing financial transactions, and preparing daily reports. This position requires excellent customer service skills, strong attention to detail, and the ability to work independently.
Key Responsibilities:
- Guest Service:
- Provide excellent customer service to guests during the night shift, handling check-ins, check-outs, and any guest inquiries or requests.
- Assist guests with reservations, room assignments, and issue resolution.
- Ensure guests are informed about hotel facilities, services, and policies.
- Resolving room status and rate discrepancies.
- Accounting and Auditing:
- Perform nightly audit of all hotel accounts, verifying revenue, expenses, and transactions for accuracy.
- Reconcile the daily financial transactions, including posting charges to guest accounts and processing payments.
- Prepare and generate financial reports such as the daily revenue report, accounts receivable, and other financial documents for management.
- Generate operational and managerial reports.
- Verify the EOD (end of day) sequence.
- Update guest folio, balance, and close days records.
- Security and Safety:
- Ensure the hotel is secure during overnight hours, monitoring surveillance systems and patrolling the premises as necessary.
- Handle emergency situations, including contacting the appropriate personnel in case of security or safety concerns.
- Communication and Reporting:
- Communicate with other hotel departments, ensuring all issues are addressed and resolved.
- Provide the morning shift with detailed reports about overnight activities, including any issues or guest feedback.
- Prepare any necessary reports for management, ensuring accuracy and timeliness.
- Administrative Tasks:
- Update and maintain guest records in the hotel management system.
- Handle the processing of invoices, charges, and refunds in accordance with hotel policies.
- Assist with the opening and closing of the hotel’s financial books.
- Ensure that all staff night duties are accomplished.
- General Front Desk Support:
- Answer phone calls and manage guest inquiries.
- Provide information about the hotel and local attractions.
- Maintain a clean and organized front desk area.
Qualifications:
- Previous hotel front desk or customer service experience, especially in a Night Auditor role, is preferred.
- Excellent verbal and written communication skills.
- Added advantage of accounts knowledge.
Key Skills:
- Account Reconciliation.
- Strong understanding of accounting procedures.
- Proficiency with hotel management software (e.g., Opera, HMS).
- Excellent communication and customer service skills.
- Ability to handle financial transactions with accuracy and confidentiality.
- Ability to work independently and manage multiple tasks efficiently.
