Job Summary

Management assistants are the behind-the-scenes workers who keep companies running smoothly. They work with managers and other senior staff, providing administrative support and helping to ensure that everyone is on the same page when it comes to company goals, procedures, and policies.

Management assistants may also be responsible for managing some aspects of their manager’s job. This might include scheduling meetings or appointments, answering phone calls and emails from clients or customers, or even handling basic customer service issues.

Responsibilities

Management assistants typically have a wide range of responsibilities, which can include:

  • Providing administrative support to executive management by maintaining calendars, answering phones, arranging travel, and scheduling meetings
  • Coordinating office activities such as ordering supplies and managing inventory levels
  • Act as a liaison and provide support to the executive team. Arrange and handle all logistics for Management meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes.
  • Coordinating with other departments to ensure that projects are completed on time and within budget parameters.
  • Recording, transcribing, and summarizing meetings conducted by managers or other employees.
  • Maintaining databases of information regarding clients, vendors, suppliers, or other stakeholders who have business relationships with the organization.
  • Preparing travel itineraries, and booking flights and hotel reservations for executives and other employees
  • Collect and compile data, prepare reports and coordinate all management projects.
  • Compile all data, utilize spreadsheets, database software and graphics for simple evaluation to assist different administrative projects.
  • Disseminating information to management within the business

Qualifications

  • Bachelor’s Degree in Business Management (preferred)
  • 2+ years experience in related field
  • Experience with financial and customer service principles
  • Exceptional leadership and organizational abilities
  • Knowledge of the office management function
  • Proficient user of MS Office (MS Excel in particular)
  • Excellent math skills with the ability to create and analyze reports, spreadsheets, and sales statistics.
  • Outstanding interpersonal and communication skills
  • Problem-solving attitude
  • Extremely high level of professionalism, discretion, and confidentiality
