LOGISTICS OFFICER

The Zambia Red Cross Society (ZRCS) is a Humanitarian Organization established in 1966 by an Act of Parliament CAP 307 of the laws of Zambia as an auxiliary institution that augments government’s efforts in developmental works and humanitarian assistance. ZRCS is part of the International Federation of the Red Cross and Red Crescent Societies (IFRC). In line with its mandate, ZRCS partners with the Government of the Republic of Zambia in responding to both man-made and natural disasters, including epidemics.

As part of our expansion plans, we are seeking a dedicated, self-motivated and detail-oriented Logistics Officer to join our ZRCS Logistics and Procurement Team.

Job Summary:

The Logistics Officer shall carry out purchasing and fleet activities and ensure that purchase orders, procurement records and fleet details are updated accordingly S/he whilst meeting all legal requirements and all procurement are done in an effective and efficient manner. She/he will ensure that organization vehicles are used in accordance with ZRCS Rules and Regulations and that vehicle usage data is correctly recorded and managed according to the correct schedule of maintenance.

Key Responsibilities:

Procurement

  • Ensuring purchase orders, and other records are updated and respond to order issues.
  • Review and recommend to the Manager the updated vendors list
  • Organize suppliers, delivery times, invoices, and quantity of supplies
  • Work with team members, supervisors, and managers to develop future purchasing plans and source potential relationships with vendors
  • Analyze potential recommend to Manager potential vendors and suppliers for future project needs
  • Send out RFQs, prepare tender documents, organise tender meeting, Prepare CBAs, Prepare tender minutes.
  • Prepare quality quarterly reports

Logistics and Fleet management

  • Ensures that organization vehicles are used in accordance with ZRCS Rules and Regulations and that vehicle usage data is correctly recorded.
  • Facilitate and coordinate the purchase of organization fleet
  • Oversee and coordinate vehicle usage
  • Ensure timely maintenance and repair of all vehicles
  • Determine the need and benefits of out-sourcing vehicle repairs or services.
  • Maintain and update vehicle records in relation to project areas.
  • Issue, monitor and control the drawing of fuel and lubricants
  • Ensure log books are up to date and all trips, fuel and lubricants are properly recorded
  • Ensure a clean and tidy working environment to aid operational efficiency

Qualifications and Experience:

Educational Requirements:

  • Diploma/Bachelor’s Degree in logistics, supply chain management, business administration with five years’ traceable work experience

Skills and Competencies:

  • Analytical Skills: Ability to analyze data and logistics processes to identify areas for improvement.
  • Communication Skills: Strong verbal and written communication skills to effectively interact with team members, suppliers, and stakeholders.
  • Problem-Solving Skills: Ability to quickly identify and resolve logistics-related issues.
  • Attention to Detail: High level of accuracy and attention to detail in logistics planning and execution.
