1. Job Description : Inventory Controller
Location: Lusaka & Kitwe
Reports to: Manager
Position Overview
The Inventory Controller will oversee and manage the inventory operations of three liquor
retail stores, ensuring accurate stock levels, minimizing waste, and optimizing the flow of goods.
This role will focus on maintaining efficiency in inventory management, preventing stock
shortages or overages, and ensuring compliance with industry regulations. The Inventory
Controller will also collaborate with store managers and suppliers to streamline operations.
Key Responsibilities
1. Inventory Management and Control
– Monitor and manage stock levels across all three liquor stores to ensure optimal inventory.
– Implement and maintain a real-time inventory tracking system.
– Conduct regular stock counts (weekly, monthly, quarterly) and reconcile discrepancies.
– Identify slow-moving, fast-moving, and dead stock to optimize stock levels.
2. Purchasing and Supplier Coordination
– Liaise with suppliers to place orders based on inventory needs and sales trends.
– Negotiate pricing, payment terms, and delivery schedules with suppliers.
– Track and ensure timely delivery of goods to all stores.
3. Store Coordination and Logistics
– Work closely with store managers to understand individual store inventory requirements.
– Allocate inventory to the stores based on sales trends and forecasted demand.
– Oversee inter-store stock transfers to balance inventory levels.
4. Data Analysis and Reporting
– Use inventory data to create detailed reports on stock levels, turnover rates, and shrinkage.
– Analyze sales trends to forecast future inventory needs.
– Present inventory performance reports to the senior management team monthly.
5. Compliance and Quality Control
– Ensure that all inventory is stored and handled in compliance with liquor regulations and
health standards.
– Conduct periodic audits to verify that inventory meets quality and safety standards.
– Maintain accurate records of inventory for tax and compliance purposes.
6. Loss Prevention and Shrinkage Control
– Identify potential areas of stock loss or theft and implement measures to minimize shrinkage.
– Develop processes to ensure accountability for inventory handling at the store level.
7. System and Process Optimization
– Propose and implement inventory management tools and software to enhance efficiency.
– Train store staff on inventory-related procedures and system use.
– Develop and document standard operating procedures (SOPs) for inventory management.
8. Team Collaboration
– Collaborate with store managers to address inventory issues.
– Work closely with the finance team to align inventory costs with budgets.
– Coordinate with the marketing team to align inventory with promotional campaigns and
events.
Qualifications and Skills
1. Education and Experience:
– Bachelor’s degree in Supply Chain Management, Business Administration, or related field
(preferred).
– 3+ years of experience in inventory management, preferably in retail or liquor stores.
2. Technical Skills:
– Proficiency in inventory management software (e.g., Lyt POS,Shopifiy,Zoho Inventory,
NetSuite, or QuickBooks).
– Strong knowledge of Excel and data analysis tools.
– Familiarity with point-of-sale (POS) systems.
3. Analytical and Organizational Skills:
– Exceptional attention to detail and problem-solving skills.
– Ability to analyze data and make informed inventory decisions.
4. Communication and Leadership Skills:
– Strong interpersonal skills to collaborate with team members and suppliers.
– Ability to train and mentor staff on inventory processes.
5. Industry Knowledge:
– Understanding of liquor retail regulations, licensing requirements, and stock handling
procedures.
– Knowledge of seasonal and local demand for various liquor products.
6. Other Requirements:
– Valid driver’s license for travel between stores.
– Flexibility to work irregular hours during busy seasons or inventory audits.
