Job Description
HR Advisor – Huntley, Chisamba (01)
Reporting to HR Business Partner
Responsibilities:
Labour Planning and Sourcing
Ensure jobs, titles, organograms and job descriptions are updated as necessary.
Recruit, screen, interview and appoint new staff and ensure that new employee is inducted into the organisation.
Support the recruitment process in the business, including ensuring effective induction and onboarding
Provide input to budget for total manpower requirements.
Talent Management
Implement the talent processes (as per the Zambeef Way) to support the current and future development and deployment needs of the BU in line with strategies and plans.
Train and support managers on the quality and outputs of talent management processes & principles.
Ensure that employees holding key / critical roles have Job descriptions, competencies, and individual development plans.
Performance Management
Support individuals and managers in developing team and individual goals that are relevant to their BU and aligned to business priorities and customer requirements
Coach managers to have honest performance conversations during 1:1’s, mid-year and year end reviews
Support managers in making appropriate performance rating decisions, and communicating the reasons and outcomes of these decisions effectively
Develop consistent communication to support the effective implementation of the Performance Management process as per Zambeef Way.
Review performance problems with managers and workers, provide counselling and support managers to set clear / relevant performance goals that are aligned their business unit, and business priorities.
Preparing, updating and maintaining staff performance appraisal and staff development panel guidelines.
Providing a secretarial service and maintain records of all the panel meetings in the business.
Facilitate the staff development and panel recommendations.
Maintaining up to date and correct company records concerning promotions, transfers, redeployment and succession charts by panel within the purview of the Staff Development Plan system.
Industrial Relations
Apply / interpret company policy and legal procedures to deal with IR cases, and advise management and workers.
Resolve conflict / employee relations issues within the IR legal framework.
Support, coach and train managers and all employees in understanding and dealing with Industrial Relations issues
Assist management with restructuring of departments / units.
Review policies, conditions of employment, in line with current legislation; and keep record of system and inform employees of changes.
HR Administration
Ensure timely updating of key HR information and manage personnel data on the HRIS system.
Coordinate the time and attendance system and address any non-compliance.
Prepare and analyse monthly HR Reports and dashboards. By observing trends, propose and implement actions to sustain positive results.
Engage new recruits in the HR System, capturing all relevant employee details.
Terminating employees in the HR System who leave the company for various reasons as soon as they are officially terminated.
Updating employee details that are reclassified for various reasons e.g promotions, transfers, change of job titles etc.
Periodically audit employee data to ensure that the system contains correct accurate data always.
Defining and activating eligible employees in Employee Self Service (ESS) system to enable them utilize the system.
Guide employees on how to use the Employee Self Service (ESS) system for purposes of applying for leave, checking their payslips, checking their leave balances and approving leave for subordinates.
Qualifications:
Degree in Human Resource Management or equivalent.
Minimum 3 years hands on Human Resource experience.
Membership of the Zambia Institute of Human Resource Management
Knowledge, Skills and Competencies required
Business partnering.
Working knowledge of HR systems.
Good judgement and good decision-making ability
Committed team player with ability to interact with all levels of management in the organisation
Highly developed written and oral communication skills
Ability to work in pressured and deadline-driven operating environment
Detail-orientated with the technical aptitude and ability to perform tasks accurately and comprehensively
Expert in multi-tasking, time management and planning of work
