Job Description


Job Title: Senior General Secretary

Direct Hierarchy: Reporting to National General Secretary and Local Board Chairperson

Contract Duration: 12 months

Work Place: Lusaka

Main purpose of position

  • Reporting to the Executive Director
  • Project planning and implementation of the local office
  • Program development
  • Preparation and monitoring of branch budget
  • Staff supervision, Marketing, community and public relations.
  • Ensure delivery of high quality services and programs for children and young people, which support YMCA’s strategic plans

Key outputs of position

1. Action Plans

To reorganize the Lusaka YMCA in terms of youth leadership development, holding of the Annual General Meeting and to contribute to the Lusaka YMCA strategic planning efforts by developing and implementing the annual operating plan of the local office to ensure achievement of results for key strategic objectives focused on children and young people.

2. Membership Mobilization

Strategize, initiate and implement programs for membership mobilization in order to strengthen already existing branches and establishment of new branches so as to grow the membership by at least 500 members. Ensure creation of working teams of volunteers to work within all branches within the next six (6) months.

3. Programs

To develop and implement relevant youth programs and financial development activities at local office and to monitor such programs execution which support branch and association’s mission, goals, and strategize plans focused on children and young people.

4. Organization Image

Represents and promote the YMCA in the local community and develops positive working relationships with other organizations, business houses and governmental entities.

5. Controlled Expenditure

Develops and manages the annual operating budget and to ensure expenditure is in line with business plan and staff operate within appropriate financial policies and procedures.

6. Motivational environment

Supervises and evaluates all direct staff, identify, cultivate , train and monitor their performance in service delivery to YMCA members in order to maintain a dedicated and motivated team of staff rewarded according to their performance.

7. Maintained Facilities

Administers and maintains the use of assets to ensure safety and reliability of facilities, grounds, equipment and buildings.

8. Promotions

Formulates, develops, produces and distributes program information in order to promote services and programs for children and young people in the community necessary to meet enrollment, budget and strategic plan.

9. Report

Provides on going monitoring and evaluation systems of programs, to ensure that the programs are in line with agreed parameters and provide information to the Head Office on status to ensure that management is regularly updated on the operation of local offices.

10. Funds

To develop, implement and manage the financial development plan of the local office in order to raise adequate funds for operations.

11. Donor Reports

To ensure that all reporting requirements are fulfilled and submitted according to funders’ (Donors) guidelines.

12. Board meeting

To coordinate the work of the Board to enable the Board to fulfill its governance function.

13. Financial Reports

To prepare and interpret financial information to the National Accounts Office and local Board of Directors, to ensure the continued fiscal responsibility of the YMCA, essential  for the achievement of its Mission and Vision and ensure timely decisions by the Board of Directors.

14. Publications

To prepare and coordinate the production of the organization’s Quarterly Newsletters, Annual Reports, Brochures and promotion/publicity materials as needed to ensure the publication of a good image of the YMCA to the public.

QUALIFICATIONS AND EXPERIENCE

  • Bachelor in Business and Project Management
  • Bachelor in Project Management
  • Any other related field ( Accounting knowledge is an added advantage)
  • Minimum of 2 years working experience
