1. Job Description : Fleet Manager

Company: Lyft Rental and Car Hire

Location: Lusaka, Zambia

Reports To: General Manager

2. Job Summary

Lyft Rental and Car Hire is seeking an experienced and organized Fleet Manager  to oversee and manage our fleet. The Fleet Manager will be responsible for ensuring the efficiency, safety, and profitability of the fleet by maintaining vehicles, managing drivers, ensuring regulatory compliance, and optimizing fleet utilization. This role requires strong leadership, organizational skills, and the ability to multitask in a dynamic work environment.

Key Responsibilities

1. Fleet Operations Management

– Oversee the day-to-day operations of the fleet, ensuring timely vehicle dispatch and return.

– Assign vehicles to customers based on booking requirements and availability.

– Track and optimize fleet utilization to maximize profitability.

– Ensure accurate documentation for vehicle allocation, bookings, and returns.

2. Vehicle Maintenance and Repairs

– Develop and implement a preventive maintenance schedule for all vehicles.

– Coordinate routine servicing, repairs, and inspections to minimize vehicle downtime.

– Monitor vehicle conditions and mileage, ensuring all vehicles meet safety and performance standards.

– Work with third-party garages or mechanics for repairs while negotiating cost-effective solutions.

3. Compliance and Documentation

– Ensure all vehicles are properly licensed, insured, and compliant with local transportation laws.

– Maintain an up-to-date record of all vehicle documents (e.g., road tax, insurance, fitness certificates).

– Monitor drivers’ adherence to road safety regulations and company policies.

4. Fuel and Cost Management 

– Track and analyze operational expenses, including fuel, repairs, and spare parts, to identify cost-saving opportunities.

– Prepare and manage the fleet budget in collaboration with the General Manager.

5. GPS and Tracking Systems 

– Monitor GPS tracking systems to track vehicle locations, routes, and mileage.

– Use tracking data to identify inefficiencies or misuse and address issues promptly.

6. Team Supervision and Training 

– Manage and supervise a team of drivers, providing regular training on vehicle handling, safety, and customer service.

– Conduct performance reviews for drivers and address any performance-related issues.

– Ensure proper driver scheduling to meet customer demands while adhering to rest and work hour regulations.

7. Reporting and Analytics 

– Prepare regular reports on fleet performance, utilization, maintenance costs, and other key metrics.

– Use data to identify areas for improvement and recommend strategies to enhance fleet efficiency.

– Report incidents, accidents, or vehicle damages to the General Manager promptly, along with proposed corrective actions.

8. Customer Service

– Collaborate with the Customer Service/Sales team to ensure timely vehicle availability and resolve customer complaints related to the fleet.

– Address customer concerns about vehicle conditions, driver performance, or delays.

Key Requirements

Education and Experience

– Bachelor’s degree in Logistics, Transport Management, Business Administration, or a related field.

– Minimum of 3–5 years of experience in fleet management or a related field.

– Experience in the car rental or transport industry is highly preferred.

Skills and Competencies  

– Strong organizational and time-management skills.

– Proficiency in fleet management software and GPS tracking systems.

– Excellent communication and leadership skills.

– Strong analytical skills with the ability to manage budgets and operational expenses effectively.

– Knowledge of Zambian road and transportation laws.

Work Hours and Compensation

– Full-time position with standard working hours and occasional weekend or evening duties as needed.
