JOB DESCRIPTION
Finance & Administration Officer
Job reports to: Country lead & Finance Manager
Grade: B2
Location: Chipata, Zambia
1. Job Purpose
The Finance and administration officer provides financial and accounting support to operations and administration functions. The ideal candidate should have a minimum 1-2 years’ experience working as a bookkeeper or accountant.

3. Key Responsibility Areas (KRAs)
KRA 1: Monthly Processing
1.1. Capture monthly transactions and reconcile petty cash
1.2. Record project expenditures accurately and timeously
1.3. Prepare monthly reconciliations for all bank accounts, accounts receivables and accounts payables, and any other balance sheet accounts
1.4. Prepare monthly payroll
1.5. Reconcile travel and expense advances monthly
KRA 2: Financial Reports
2.1. Preparation of project financial reports
2.2. Assist in preparing for audit and liaising with auditors
2.3. Assist in preparation and development of activity and project budgets
KRA 3: Financial administration
3.1. Prepare payment requisitions and receive payments
3.2. Load payments accurately on the online banking system
3.3. File and maintain all records of financial transactions and bank accounts in accordance with financial policies
3.4. File and maintain employee HR files
3.5. Ensure that banking arrangements are adequate to support the operational activities and that all bank transactions conform to agreed procedures and are appropriately documented
3.6. Procurement of goods and services – ensure all required pre-approvals are obtained, assist with sourcing quotes
3.7. Support teams with travel arrangements and bookings
3.8. Service provider and client contract management
KRA 4: Compliance
4.1. Maintain accounting records and financial controls in accordance with organisational policy and donor requirements
4.2. Support regional/country team in adherence to accounting systems and requirements
4.3. Ensure legal and statutory compliance
Qualifications & Experience:
- A diploma or equivalent in accounting/bookkeeping
- Experience in processing accounts on a computerised accounting software package
- Experience in processing payroll on a computerised payroll package
- Ability to prepare management accounts up to trial balance
- Debtor and creditor administration
- 1-2 years’ experience in financial administration/bookkeeping
Preferred qualification and experience required:
- Professional accounting Diploma
Skills:
- Problem solving orientation
- Proficient in using excel and accounting software
- Understanding of accounting systems and standards
Specific Requirements:
- Detailed and deadline driven
- Service orientation – providing support to programme/project team members
- Ability to build consensus and work effectively within an international cross-departmental team
