Zambart is an independent Zambian research organization whose headquarters is at the University of Zambia’s Ridgeway Campus in Lusaka. Zambart is globally renowned for its interdisciplinary research on HIV and Tuberculosis and has contributed to HIV and TB policy and practice at national and global levels. Zambart’s research portfolio now includes a broader scope of urgent public health issues. Zambart staff form an interdisciplinary team with a range of expertise including epidemiology, clinical science, social science, laboratory, operations research, health systems and services research, health policy analysis, health economics, health communication and counselling.

Zambart’ s vision is to conduct quality interdisciplinary health research on issues of public health importance Zambia and contribute to improving health policy and practice leading to better health for all.

Our mission is to contribute to global public health policy and practice through the generation of an evidence based by conducting high-quality health research in Zambia.

To support our wide range of research activities, we are looking for an ambitious, suitably qualified candidate to fill the following exciting position that has arisen:

Position: Executive Assistant

Duty Station: Zambart House, Lusaka.

Job Purpose:

To provide high level administrative support and assistance to two Professors on some key grants that they lead and on their wider leadership responsibilities and contribute to the efficiency of operational processes and implementation of studies by overseeing all assigned administrative duties. The Professors are academics with two affiliations: Zambart and LSHTM, working public health from the field of epidemiology and infectious disease, and social science. They both lead multi-country grants, and Zambia specific grants, as well has having teaching and other responsibilities in the two institutions.

The Key roles and responsibilities will include but not limited to:

  • Managing calendars for meetings and travel commitments of the Professors.
  • Prepare agendas and assist in planning appointments, meetings, conferences etc. (both in-person and on-line).
  • Take minutes at meetings (in-person and on-line) and distribute formal copies to the attendees afterward.
  • Make travel and accommodation arrangements and process payments for associated invoices.
  • Draft letters, memos, invoices, reports, and other documents.
    Proofreading and editing documents as assigned.
  • Maintain electronic and paper records ensuring information is organized and easily accessible.
  • Support communication and visibility of key grants.

Essential Requirements

  • 3+ years’ experience of working as an Executive assistant or other related position.
  • Extensive experience in office management and basic accounting procedures
  • Good practical experience and knowledge with MS Office
  • Good knowledge of reporting techniques
  • Strong organizational and time-management skills
  • Excellent communication and negotiation abilities
  • Responsibility and confidentiality
  • A degree in business administration or any other related field is desirable.
  • Excellent English language writing skills for a variety of written outputs linked to the role
