Job Description
Position Title: Book Keepers:
Place of Position: Kabwe (3), Chibombo (1), Kapiri mposhi (1), Kafue (1), Ndola (1)
Main Role: The Book Keeper is a full-time position based in projects. Book Keeper will set up and maintain the 3Eighteen Zambia project financial accounts and administrative systems.
Primary Duties and Responsibilities:
- Enter transactions in Quick-books accounting system and issue vouchers for all expenses;
- Assist with the day to day accounting, including maintaining the project field accounts system, examining receipts and vouchers, reconciling advances, projecting and tracking expenditures and accruals for microloan groups
- Review Petty cash documents received from the petty cash custodian and issue voucher for replenishment.
- Ensure office space rentals are paid in time as per lease agreements and the rental schedule is constantly updated;
- Responsible for the accounting system, budget tracking and expenditure projections and expense monitoring
- Tracking and monitoring of project staff advances including reconciling of cash balances
- Ensure project compliance with all 3eighteen Zambia financial management policies and regulations;
- Ensure regular communication with financial coordinator and Project Staff on all financial related matters;
- Ensure all expenses incurred by project are paid for in a timely manner and ensure VAT free exemption
- Ensure timely monthly financial reports to the Financial Coordinator
- Prepare and share monthly, quarterly and annual financial reports with the Project Partinership Committee
- Update the cashflow and Cash Book for sharing with the Project partinership committee and submission to the Financce coordinater
- Submit financial reports shared with the Project Partinership Committee to the Finance coordinator
- Together with other staff prepare and submit timely monthly, quarterly and annual reports to the national office
Skills and Abilities
- Any experience in accounting and any accounting system an advantage
- Extensive knowledge of Microsoft Office (Excel, Word) and possibly Quick-books;
- Ability to juggle multiple tasks and willingness to take initiative;
- Excellent interpersonal skills and ability to work as a team member;
- Self-starter and Strong people management skills,
- Good verbal & written communication
- Strong organisational ability.

Desired Qualifications
- Full grade 12, Minimum of a certificate or equivalent
Desirables
- Business Administration, ACCA, CIMA, ZICA or equivalent.
- Experience working with NGOs, Christian based organisation, or Accounting enterprises
