Job Description
Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to provide comprehensive support to our management and staff. The ideal candidate will handle a variety of administrative tasks, manage correspondence, assist with scheduling, and support basic accounting functions such as invoicing and accounts receivable tracking. Strong communication skills, proficiency in office software, and the ability to multitask are essential for success in this role.
Key Responsibilities:
– Provide administrative support to management and staff to ensure smooth office operations.
– Handle incoming calls, emails, and correspondence in a professional and timely manner.
– Schedule appointments and meetings and manage calendars efficiently.
– Prepare and edit reports, presentations, and other business documents.
– Prepare and issue client invoices accurately and in a timely fashion.
– Follow up on outstanding payments and maintain up-to-date accounts receivable records.
– Respond to client inquiries regarding billing and provide account statements as needed.
– Maintain well-organized physical and electronic filing systems for easy retrieval of documents.
Qualifications & Skills:
– Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
– Strong written and verbal communication skills.
– Excellent organizational and time-management abilities.
– Attention to detail and accuracy in handling financial records.
– Ability to multitask and prioritize tasks effectively.
– Basic knowledge of accounting principles is a plus.
Education & Experience:
– School certificate
– Diploma or higher in a business course/program
