ACCOUNTS ASSISTANT INTERN

TERMS OF REFERENCE

BACKGROUND

Habitat for Humanity has worked in Zambia since 1984, partnering with low-income families on affordable housing solutions in informal settlements. Habitat started as a rural housing program in Zambia. But because of the high urbanization rate — at almost 4% per year, one of the highest in Sub-Saharan Africa — and the magnitude of challenges in urban areas, we have shifted our strategy to focus on barriers to decent housing in the informal settlements that are now home to 70% of the country’s urban population. Our major sectors of programming include housing and slum upgrading, land tenure security, Water, Sanitation and Hygiene (WASH), financial literacy for housing, disaster response and preparedness, and housing microfinance. Since inception, we have worked with families to build more than 4,000 homes, but our programs fully integrate solutions related to areas such as land tenure security and WASH to promote sustainable and resilient communities in line with the national development plans and the U.N.’s Sustainable Development Goals.

SCOPE OF WORK

The interns will work closely with the National Accountant, Grant Accountant, Procurement Officer, and Finance Manager to assist with day-to-day business operations through the responsibilities listed below. The appropriate candidate should be responsible, problem solver who is innovative and eager to learn.

SPECIFIC TASKS

Financial Management, documents filing, vouching, and reporting

Maintain all accounting files in an orderly and systematic manner, attaching all necessary support documents
Support in processing payment vouchers and proper recording of accounting information for transactional processing
Follow up to staff on unretired business imprest
Work with staff to track costs for projects and trips undertaken
Support the reporting process to ensure reports are produced in a timely manner
Work with finance staff to support external auditors during projects and organizational audits
Support the Procurement Officer in reconciliation and delivery of construction materials to the sites
Support in validation of and vouching of beneficiary loan contracts

TIME SCHEDULE

The Accounts Assistant Intern will be required to work for a period of 60 days.

REPORTING

The Accounts Assistant Intern will be reporting to the National Accountant with overall support and supervision of the Finance Manager.

REQUIRED QUALIFICATIONS AND EXPERIENCE

Any Full Accounting, Finance qualification with evidence of ZICA Membership
Knowledge in administrative duties and data entry (added advantage).
Computer literate (MS Office, Excel, and MS Outlook).
Good communication skills.
Independent worker and team player.
Able to work under a fast-paced environment.
Willing to learn attitude
