Job Description
Core purpose: Oversee the financial operations of the organization and ensure timely and accurate financial reports and practices including cash management, payroll, financial disbursements, ledgers etc. Responsible for entering financial information and maintaining all financial records for projects and for the organization.
Major Responsibilities:
1. Ensure the highest degree of integrity in the accounting records
2. Verify all purchases with appropriate account codes and ensure daily data entry
3. Ensure and verifies the timely payment of justified project expenses
4. Ensure the validation of inter-fund receivables and payables on monthly basis
5. Prepare cash flows and projections
6. Provide financial advice to management
7. Preparation of Quarterly Financial Reports for Board and Management
8. Processing all payments on time
9. Ensuring that all entries relating to disbursements, receipts or adjustments are posted, printed and checked against source documents.
10. Checking and coding suppliers’ invoices working with ChildFund Zambia
11. Ensuring adherence to Monthly Statutory obligations such as NAPSA & PAYE ensuring annual returns for registration and other related payments are remitted before due dates
12. Assisting in management of debtors and reconciliation of receivable statements
13. Follow up on outstanding customer credit
14. Daily reconciliation of receipts
15. Reconciliation of Bank Accounts
16. Cash Book Management
17. Ensure financial activates of organization are in accordance with CCDA’s regulations and laws of Zambia
18. Ensure the timely submission of various financial reports and analysis
19. Ensure that the Agency establishes guidelines for filing, documentation listing and storage
20. Ensure proper management of the financial filing system
21. Prepare asset, liability and capital account entries by compiling and analysing account information
22. Perform any other duties assigned by the supervisor
Qualifications, Experience and Skills
- Grade twelve (12) Certificate
- Fully qualified ACCA II or CIMA II Registered member of ZICA
- Minimum three (3) years work experience in financial accounting
- Basic understanding of accountancy and bookkeeping
- Must have extensive knowledge of Pastel
- Hands on experience on all aspects of accounting, excellent hands-on experience in sage Evolution accounting software and Dove payroll
- Prior experience with NGO or other grant funded organization is an added advantage
- Working knowledge of Excel, Microsoft word, Power Point and Outlook
- Good interpersonal communication and organizational skills
- Team player and experience working in a multicultural team
- Ability to work under pressure
- Ability to meet tight deadlines
- Ability to work under minimum supervision
