Job Description


The Role Responsibilities

  • To provide Administrative, Secretarial Support and Assistance to primarily Head of Financial Markets and the FM Team inclusive of WMPS and contribute to ensuring timely, effective, efficient and quality service delivery of the Financial Markets Business which is core to the Bank’s Treasury.

Strategy

  • Maintaining confidentiality of highly sensitive issues/reports for the Bank.
  • Smooth co-ordination and running of Financial Markets Office/Dealing Room
  • Effective communication both internal and external.

Business

  • To provide Administrative, Secretarial Support and Assistance to primarily Head of Financial Markets and the FM Team inclusive of WMPS and contribute to ensuring timely, effective, efficient and quality service delivery of the Financial Markets Business which is core to the Bank’s Treasury.

Processes

  • Provide support to Head FM, WMPS team and Group counterparts in the co-ordination of the departmental activities by ensuring that FM Head meets his objectives and serves internal and external customers in an efficient and timely manner.  This includes ensuring, on a day-to-day basis that matters that require follow up are acted on by FM Head and his team.
  • Maintain confidentiality of all correspondence and communication.
  • Handle all correspondence and communication including mail, letters and memorandums and responding to routine mail. Handling telephone and customer enquiries related to FM Head’s office and the team.
  • To provide the appropriate response to customer enquiries and/or re-direct some of the enquiries to relevant officers of the department

People and Talent 

  • Sound and up-to-date computer knowledge in the relevant packages e.g. Email (outlook), Word, Excel, PowerPoint, etc. is required.
  • Good Administrative skills

  • Good Presentation skills
  • Basic understanding of Finance and Administration Division activities and workflow.

Risk Management

  • Complete mandatory H&S learning; behave responsibly in compliance with this policy.
  • Follow instructions as defined in H&S standard and comply with applicable legal requirements.
  • Report work related accidents, incidents, ill-health and unsafe workplace conditions.
  • Cooperate in assessment and mitigation of H&S risks and investigation of accidents and incidents.

Governance 

  • High sense of judgement in handling sensitive information regarding the Bank.
  • Ability to assist FM Head, TM Team/WMPS and our Group counterparts to achieve objectives/goals effectively and efficiently.
  • Ability to prioritise various given task and ensuring deliverables are met by working rapidly but accurately and in timely manner.
  • Integrity, pro-activeness and initiative are required on various issues.

Regulatory and Business Conduct

  • Display exemplary conduct and live by the Group’s Values and Code of Conduct.
  • Take personal responsibility for embedding the highest standards of ethics, including regulatory and business conduct, across Standard Chartered Bank. This includes understanding and ensuring compliance with, in letter and spirit, all applicable laws, regulations, guidelines and the Group Code of Conduct.
  • Effectively and collaboratively identify, escalate, mitigate and resolve risk, conduct and compliance matters.

Key stakeholders

  • Internal Customers – Heads of departments, Branch Managers, others PAs/Admin officers and staff for day-to-day enquiries, requests and feedback issues as well as migrating best practice.
  • External Customers – PAs of other commercial banks in Treasury departments. Government authorities i.e. Work & Residential requirements.  Hotels, Travel Agents, Airlines for travel accommodation requirements.
  • Regulators – Take personal responsibility for keeping records of any correspondence as well as updating Central Bank accordingly.

Other Responsibilities

  • Perform other responsibilities assigned under Group, Country, Business or Functional policies and procedures.
  • Contributes to the decisions made by the FM Head and Senior Managers to accept calls, see visitors and appointments/invitations.

Our Ideal Candidate

 

  • Minimum 5 O’ level credits or better including Mathematics and English
  • Degree preferably Executive Secretarial or Associated Diploma in Banking
  • Resourceful – flexible and possess outstanding problem-solving skills.
  • Possess high level of integrity and the ability to handle confidential information.  Tactful in dealing information across other functions.
  • Excellent communication skill – Good command in written & spoken English
  • Ability to work independently, proactively and with flexibility.
  • Experience working in an international, multi-cultural organisation.
  • Organized and well-structured with eye for details.
  • High of sense of responsibility and discipline in ensuring all tasks assigned are completed within timeline.
  • Good analytical skills and able to provide solutions.
  • Strong interpersonal skills and comfortable engaging at many levels.
  • Action-oriented, entrepreneurial, flexible, and innovative approach to operational management.
