The Zambia Environmental Management Agency (“ZEMA”) is a statutory body established under the Environmental Management Act (EMA) Number 12 of 2011 whose mandate is to do all such things as are necessary to ensure the sustainable management of natural resources and protection of the environment, as well as the prevention and control of pollution.

The Agency is inviting applications from suitably qualified and experienced candidates for the following positions:

1. EXECUTIVE ASSISTANT TO THE DIRECTOR GENERAL

1.1 JOB PURPOSE

Reporting directly to the Director General, the Executive Assistant provides confidential executive secretarial services and administrative support in a one-on-one working relationship to the Office of the Director General and Senior Management. The Executive Assistant serves as the primary point of contact for internal and external stakeholders and is therefore the face of the Office and the Agency.

1.2 MAIN DUTIES AND ACCOUNTABILITIES (Without Limitation)

  • Provide high level, confidential administrative support to the Director General’s office in order to ensure its operational efficiency and effectiveness
  • Provide background information and documentation for review and presentation by the Director General to various stakeholders
  • Operate as a face (point of contact) for the Director General’s office with internal and/or external clients
  • Prepare responses and supporting information to correspondence received under Director General’s office
  • Manage an active calendar of appointments and assignments for the office of the Director General and follow through on issues in a timely manner
  • Manage and service meetings under the Director General’s office
  • Manage the Director General’s travel logistics
  • Maintain robust, proper and confidential filing systems for documents, reports and records, both electronic and physical
  • Carry out all other assignments as properly assigned

1.3 MINIMUM QUALIFICATIONS AND EXPERIENCE

  • Full Grade 12 School Certificate
  • Diploma in secretarial studies from a reputable institution
  • Degree in Business Administration will be an added advantage
  • Minimum 5 years relevant experience in an Executive Office

CANDIDATES’ PROFILE

The candidates for both positions must be Zambians who are self-starters, goal-oriented persons of high integrity and demonstrated ability to work under pressure with minimum supervision. Computer literacy is a must.
