Position Title: Executive Assistant
Location: Lusaka, Zambia
Overview:
We are looking for a highly organized and proactive Executive Assistant with a strong background in Human Resources or Business Development. The ideal candidate will have extensive experience in business administration or as an executive assistant, and will be adept at managing both strategic and day-to-day administrative tasks. This role requires exceptional multitasking abilities, strong interpersonal skills, and the ability to work in a fast-paced environment.
Key Responsibilities:
1. Administrative Support:
– Provide high-level administrative support to executives, including scheduling meetings, managing calendars, and handling correspondence.
– Prepare reports, presentations, and other documents as needed.
– Organize and maintain files and records.
2. Human Resources or Business Development:
– Assist in HR functions such as recruitment, onboarding, and employee relations.
– Support business development initiatives by conducting research, preparing proposals, and maintaining client relationships.
– Coordinate with HR or business development teams to align executive priorities with organizational goals.
3. Project Management:
– Manage special projects and initiatives as assigned by executives.
– Track project progress, ensure deadlines are met, and provide regular updates to executives.
– Collaborate with various departments to ensure project success.
4. Communication and Coordination:
– Serve as a liaison between executives and internal/external stakeholders.
– Handle confidential information with discretion and professionalism.
– Ensure effective communication and coordination among team members and departments.
5. Operational Efficiency:
– Identify opportunities to improve administrative processes and implement best practices.
– Ensure office operations run smoothly and efficiently.
– Support executives in their day-to-day activities and provide solutions to any operational challenges.
Qualifications:
– Degree in Human Resources, Business Development, Business Administration, or related field.
– Proven experience as a Business Administrator or Executive Assistant.
– Strong organizational and multitasking skills.
– Excellent written and verbal communication skills.
– Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
– Ability to work independently and handle a high level of responsibility.
– Strong interpersonal skills and ability to build positive relationships.
