Reports To: Chief Executive Officer (CEO) / Board of Directors

Job Summary:
The Site Manager will be responsible for the overall leadership and management of a private medical diagnostics laboratory in Ndola, Zambia. This role involves strategic planning, operational oversight, financial management, and ensuring the laboratory delivers high-quality diagnostic services. The Site Manager will lead a team of professionals and work closely with the CEO and Board of Directors to achieve the laboratory’s goals and objectives.
Key Responsibilities:
1. Strategic Planning and Leadership:
- Develop and implement the laboratory’s strategic plan in alignment with the company’s overall mission and vision.
- Lead the development of business objectives, growth strategies, and operational plans.
- Provide leadership and direction to all departments to ensure they operate efficiently and effectively.
- Regularly review and assess the laboratory’s performance and make adjustments as needed.
2. Operational Management:
- Oversee the daily operations of the laboratory, ensuring high standards of service delivery.
- Implement and monitor standard operating procedures (SOPs) to optimize efficiency and quality.
- Ensure that all laboratory equipment is properly maintained and up-to-date with the latest technologies.
- Manage the laboratory’s workflow to ensure timely processing and reporting of diagnostic tests.
3. Financial Management:
- Prepare and manage the laboratory’s annual budget, including forecasting revenue and expenses.
- Monitor financial performance, including profit and loss statements, and implement cost-control measures.
- Approve expenditures and manage the procurement of supplies, equipment, and services.
- Identify and pursue opportunities for revenue growth, including new services and market expansion.
4. Human Resource Management:
- Oversee the recruitment, training, and management of laboratory staff.
- Ensure that the laboratory is staffed with qualified professionals who are well-trained and motivated.
- Conduct regular performance evaluations and implement professional development programs.
- Foster a positive and productive work environment, promoting teamwork and high morale.
5. Quality Assurance and Compliance:
- Ensure the laboratory complies with all relevant local and international regulations and standards (e.g., ISO 15189).
- Implement and monitor quality control programs to ensure the accuracy and reliability of test results.
- Prepare the laboratory for inspections and audits by regulatory bodies.
- Ensure that all health and safety protocols are strictly adhered to within the laboratory.
6. Client and Stakeholder Management:
- Develop and maintain strong relationships with clients, healthcare providers, and other key stakeholders.
- Address client concerns and inquiries promptly and professionally
- Collaborate with the sales and marketing teams to promote the laboratory’s services and enhance its reputation.
- Represent the laboratory at industry events, conferences, and meetings.
7. Technology and Innovation:
- Stay abreast of advancements in medical diagnostics and laboratory technology.
- Lead initiatives to adopt new technologies and improve existing processes within the laboratory.
- Oversee the integration of new diagnostic tests and services into the laboratory’s offerings.
8. Reporting and Communication:
- Prepare regular reports on the laboratory’s performance for the CEO and Board of Directors.
- Communicate key developments, challenges, and opportunities to senior management.
- Ensure all internal and external communications are clear, professional, and aligned with the laboratory’s brand.
9. Risk Management:
- Identify potential risks to the laboratory’s operations and implement strategies to mitigate them.
- Ensure that all laboratory activities are conducted in a manner that minimizes legal and financial risks.
- Develop and maintain contingency plans for emergencies and other unforeseen events.
Qualifications and Skills:
- Education: Bachelor’s degree in Medical Laboratory Science, Biomedical Science, Business Administration, or a related field. A Master’s degree in Business Administration (MBA) or a related field is highly desirable.
- Experience: Minimum of 5 years of experience in a medical diagnostics laboratory or healthcare setting, with at least 3 years in a senior management role.
- Leadership Skills: Proven ability to lead, inspire, and manage a diverse team of professionals.
- Strategic Thinking: Strong ability to develop and implement business strategies that drive growth and efficiency.
- Financial Acumen: Deep understanding of financial management, including budgeting, forecasting, and cost control.
- Regulatory Knowledge: Familiarity with Zambian healthcare regulations and international standards (e.g., ISO 15189).
- Communication Skills: Excellent verbal and written communication skills, with the ability to present complex information clearly.
- Problem-Solving: Strong analytical and decision-making skills, with a focus on achieving results.
- IT Skills: Proficient in the use of business management software, laboratory information systems (LIS), and Microsoft Office Suite.
Working Conditions:
- Primarily based in an office environment within the laboratory premises, with occasional visits to other sites or meetings.
- May require extended working hours to meet deadlines or handle emergencies.
- Occasional travel within Zambia or internationally for conferences, training, or meetings.
