Position Description
EnCompass LLC seeks a Driver/Logistics Assistant candidate for a 5-year United States Agency for International Development (USAID) /Zambia MEL Platform The MEL Platform will provide USAID/Zambia with strategic and technical support to improve performance management and advance Mission learning. The Platform will provide technical, administrative, and programmatic support services to USAID/Zambia in developing, implementing, and evaluating strategies and programs related to the Mission’s priorities.

The position will be full-time and be based in Lusaka, Zambia.

The Driver/Logistics Assistant plays a crucial role in ensuring safe and efficient transportation of Z-MELP II staff, visitors, and guests while also performing various logistical tasks to maintain vehicle legality and safety. With excellent communication skills and punctuality, the driver exercises situational awareness during transportation, adhering to safety and security measures, policies, and laws. Additionally, the driver provides comprehensive administrative support to the Finance & Administration Team and other staff members, including scheduling, visitor reception, meeting preparation, transportation and logistics coordination, travel assistance, incident reporting, and general office tasks.

The Driver may not transport unauthorized persons (s) or provide unauthorized transportation.

This full-time position is based at the EnCompass office in Lusaka, Zambia, and will report to the HR Manager.

Position Duties and Responsibilities
Responsibilities:

Driver –65% time

Drives Zambia MEL Platform team, Short-Term Technical Assistance (STTA) personnel, and guests to destinations (meetings, site visits, and other specified occasions) according to established schedules.
Coordinates with the Finance & Administration Team for all travel-related matters, particularly security updates or incidents during travel.
Reports any incidents or deterioration of the safety situation promptly to relevant parties.
Manages vehicle maintenance, ensuring registration, road tax, and other requirements are up to date, and the vehicles are clean and in good working order.
Records mileage, purpose of trip, passengers, and other necessary information in the logbook as required by EnCompass policies. Prepares fuel logs for assigned vehicles in accordance with EnCompass rules and regulations.
Report any incidents or deterioration of the safety situation promptly to relevant parties.
Logistics – 45% time

Provide administrative support to the Finance & Administration Team and other staff as needed, including assistance with photocopying, travel schedules, visitor reception, meeting preparation, and general backstopping support.
Assist in managing and coordinating supplies and acquiring needed project supplies and purchases from vendors.
Assist in setting up and organizing venues for meetings, workshops, and other events, including arrangement of seating, equipment, and refreshments as necessary.
Monitors and maintains office equipment, conducts regular inventory counts, and coordinates equipment maintenance and repairs with the Finance and Admin Officer.
Assists in the renewal of visas and other official documents as requested.
Engages fully as a Zambia MEL Platform team member, actively participating in meetings and training as necessary.

Position Requirements

Qualifications, Skills and Competences

Valid clean Zambian driver’s license Class B.
At minimum four years of driving experience.
Grade 12 certificate. A certificate or Diploma in Business Administration or Business Studies will be an added advantage.
Citizen or permanent resident of Zambia
Familiarity with local roads and routes.
Language Skills: proficiency in written and spoken English required.
Computer Proficiency: Proficiency in using Microsoft Excel, and other relevant computer applications is required. Familiarity with database management and document preparation software would be beneficial.
Organizational Skills: The ability to prioritize tasks, handle multiple assignments simultaneously, and meet deadlines is important. Strong organizational and time management skills are necessary to ensure smooth operations.
Problem-Solving Skills: The ability to analyze situations, identify issues, and propose practical solutions is valuable. Proactive problem-solving skills help in addressing challenges efficiently.
Teamwork and Interpersonal Skills: The ability to work effectively in a team environment and collaborate with colleagues at all levels is essential. Strong interpersonal skills, including the ability to establish positive relationships with stakeholders, are important.
Integrity and Confidentiality: This position requires demonstrating high ethical standards and maintaining strict confidentiality regarding sensitive financial and administrative information.
