Job Summary:

The Stock and Inventory Officer is responsible for managing and overseeing the inventory system, tracking all incoming and outgoing products and materials, maintaining accurate records, and ensuring the efficient and effective management of stock levels.

Key Responsibilities:

Inventory Management:

Monitor and maintain current inventory levels; track orders, deliveries, and shipments.

Perform regular physical stock checks and reconcile discrepancies with inventory records.

Implement and manage inventory control procedures to minimize stock losses and variances.

Ensure that stock is stored in a safe, organized manner and in compliance with safety and quality standards.

Data Entry and Record Keeping:

Maintain accurate records of all stock movements using inventory management software or systems.

Update inventory data, including item details, quantities, and locations.

Prepare and present reports on inventory status, including stock levels, turnover rates, and potential shortages or excesses.

Ordering and Replenishment:

Coordinate with procurement teams to place orders for replenishment based on inventory levels and demand forecasts.

Monitor and track orders to ensure timely delivery and receipt of goods.
Liaise with suppliers and vendors to resolve any discrepancies or issues with deliveries.

Quality Control:

Inspect incoming goods for quality and quantity, ensuring they meet company standards and specifications.

Report and manage any defective or damaged goods, arranging returns or replacements as necessary.

Collaboration and Communication:

Work closely with other departments, such as sales, production, and logistics, to forecast inventory needs and manage stock accordingly.

Communicate effectively with team members, suppliers, and other stakeholders regarding inventory issues and updates.

Compliance and Reporting:

Ensure compliance with company policies, industry regulations, and health and safety standards.

Prepare and submit regular inventory reports to management, highlighting key trends and areas for improvement.

Qualifications and Skills:

Education: Diploma or degree in supply chain management, logistics, business administration, or a related field.

Experience: Previous experience in inventory management, warehouse operations, or a similar role.

Skills: Proficiency in inventory management software, strong analytical and organizational skills, attention to detail, and good communication skills.

Additional: Knowledge of relevant health and safety regulations, ability to work in a fast-paced environment, and physical ability to perform stock checks and handle inventory.

Working Conditions:

May involve working in a warehouse or storage environment.
Requires physical activity, including lifting and moving stock.
