Project Overview
Pact Zambia seeks highly qualified, enthusiastic, creative, energetic, and accomplished Zambian nationals to work on the recently awarded, five-year USAID/Zambia Integrated HIV and Health (ZIH) activity contract. ZIH will support the USAID and PEPFAR objectives of 95/95/95 and providing service delivery and technical assistance to improve Maternal, Newborn, and Child Health (RNMCH) and Family Planning & Reproductive Health (FP/RH) services. ZIH will improve, sustain, and further integrate HIV/AIDS, MNCH and FP/RH services at the health facility and community levels and ensure that client-centered, high-impact, high-quality services are available to all Zambians.
Key Responsibilities
1. Vehicle Maintenance:
- Develop and implement a comprehensive vehicle maintenance schedule to ensure all vehicles are regularly inspected and serviced.
- Coordinate with mechanics and service providers to carry out routine maintenance, repairs, and inspections.
- Monitor and record maintenance activities, ensuring proper documentation of repairs and services.
- Address vehicle breakdowns promptly and arrange for necessary repairs to minimize downtime.
2. Fuel Management:
- Monitor fuel consumption for all vehicles and maintain detailed fuel logs.
- Implement strategies to optimize fuel efficiency and reduce costs.
- Review fuel receipts and expenses regularly, identifying any discrepancies or inefficiencies.
- Work with drivers to promote fuel-efficient driving practices.
- Submit a monthly fuel reconciliation report to the Operations Manager highlighting any discrepancies or areas of concern.
3. Driver Supervision:
- Support the Operations Manager in the recruitment, training, and supervision of drivers to ensure they adhere to safety protocols and company policies.
- Conduct driver performance evaluations and provide constructive feedback to improve driving skills and overall performance.
- Enforce compliance with traffic laws, safety regulations, and company policies.
- Address any driver-related issues or concerns promptly and professionally.
4. Log Sheet Maintenance:
- Oversee and ensure the accurate completion and maintenance of driver log sheets.
- Review log sheets regularly for accuracy and completeness.
- Address any discrepancies or issues with log sheets and provide guidance to drivers.
5. Fleet Performance, Tracking and Reporting:
- Act as the main contact for vehicle tracking and monitoring systems, ensuring all aspects of tracking are up-to-date and any issues followed up and resolved expeditiously.
- Analyze fleet performance data, including maintenance costs, fuel consumption, and vehicle utilization.
- Prepare regular reports on fleet performance, identifying trends and areas for improvement.
- Provide recommendations to management for optimizing fleet operations and reducing costs.
6. Compliance and Safety:
- Ensure that all vehicles and drivers comply with relevant local regulations.
- Stay updated on changes in transportation laws and regulations and implement necessary adjustments to maintain compliance.
- Conduct regular safety training for drivers to promote safe driving practices and prevent accidents.
Basic Requirements
- Bachelor’s degree or Higher diploma in Logistics, Business Administration, or a related field is preferred.
- Proven experience in fleet management, logistics, or a similar role.
- Knowledge of vehicle maintenance procedures and best practices.
- Familiarity with fuel management techniques and strategies.
- Strong leadership and supervisory skills to manage a team of drivers effectively.
- Excellent organizational and analytical abilities to track fleet performance metrics.
- Knowledge of transportation regulations and safety standards.
- Proficiency in using fleet management software and tools.
- Effective communication and interpersonal skills to interact with drivers, mechanics, and other stakeholders.
- Problem-solving and decision-making skills to address fleet-related challenges.
